For security agencies

Your officers' paperwork should not outlast your shifts

Agencies our size run on a handful of people doing three jobs. The roster, the incident reports, the client updates and the invoices compete with the work that actually earns money.

OwnYourAI trains security agency staff in Singapore to build and run the agency's own AI colleague on the agency's own paperwork - incident reports, rosters, client updates and quotations. It is online, own pace, and built for teams with no IT department.

We built the course around work like yours, with security agencies as the first focus.

The pattern

Where the week actually goes

Ask an operations manager where the time goes and the answer is usually the same three places. An officer writes an incident report on paper, and somebody retypes it into a file later. A client asks for a status update, and somebody assembles the same information again by hand. A quotation goes out with details copied from a previous one, because that is faster than starting fresh.

None of this is a discipline problem. It is what happens when a business grows from five people to thirty without a back office. The people who were supposed to be selling and supervising are doing data entry.

Then an officer finds an AI tool that will tidy a report in ten seconds. It works. It is also the exact moment a client's incident details leave your control, and nobody in the company can say where they went.

What we would do with you

Three realistic starting points

Level 2 use case

The incident report

An officer's notes go in as the officer wrote them; a clean draft comes out in the agency's own format, ready for a supervisor to check and sign. The officer's name and the client's data handling rules stay in place because the build is built around them.

Level 2 use case

The status update

The Monday client update that takes an hour to assemble becomes a draft in minutes from records you already hold, so the account manager spends the hour talking to the client instead.

Level 1 outcome

The policy that stops the leak

Before anything is built, the agency writes down what may and may not go into an AI tool, and who checks. That single page is usually the thing directors wanted most and could not find the time to write.

These are examples of the work the training addresses, not client results and not a promise of a particular saving. The saving is measured against your own task, during your own level, on your own numbers.

Why it fits

Why this suits an agency rather than a bigger company

What agencies have

  • Repetitive, documented work — reports, rosters, updates — which is exactly what an AI colleague is good at
  • People who already follow procedure carefully, which is most of the skill needed
  • A real reason to care about data handling: client confidentiality
  • Decision-making close to the top, so a decision takes days, not quarters

What agencies lack

  • An IT department to hand it to
  • Spare headcount to absorb a project
  • Appetite for a long consulting engagement
  • Anything in writing about AI, so staff improvise with public tools

That last line is the risk we would close first. It is also the quickest win.

Pick the job that eats your week

Four repetitive jobs, one page each

Each page below is one workflow, in the language of the people who do it. These are the four jobs agencies most often bring to the build assessment.

The report written twice

Incident reports

An officer's account goes in as written and comes back in the client’s format for a supervisor to sign. The incident report workflow.

The shift written three times

Deployment sheets and timesheets

Roster, deployment sheet and month-end timesheet kept in step, with the exceptions put in front of a person. The month-end workflow.

The list only one person knows

Licences and renewals

Every officer renewal in one dated view with a named owner. The renewals workflow.

The hour spent assembling

Client updates and quotations

The regular client update and the quotation drafted from your own current records. The client-reporting workflow.

We publish no saving on any of these pages, because the honest figure comes from your own task. What each page does publish is the result, how it is measured, when it lands, and what happens if it does not.

What we are selling you

Result, measurement, timing, and the remedy. Nothing else on this page matters as much as this block.

The result
One repetitive agency task is handled by an AI colleague your own staff built, running on your own process, with a written rule about what data may be used.
How it is measured
On your task, in your own numbers: how long it took before, how long it takes now, and whether the output is correct often enough to rely on. You keep the measurement and can re-run it.
When it lands
Inside the weeks agreed at enrolment — most agencies pair this with Level 1 so the policy and the build land together.
If it does not land
If it is not running on real agency work by the end of the agreed window, we stay on with your team at no extra cost until it is, or the level is not charged. We think that is only fair when you are the one taking the risk on a new way of working.

Agency questions

What directors and ops managers ask us

Our officers are not computer people. Is this realistic?
Most people who build these tools are not technical — they are the ones who know the process. If your team can follow a procedure, they can do this. That is the whole design.
Who sees our client data during the course?
Nobody outside your company. We do not ask you to hand us client data to run the training, and Level 1 writes the rules for what may go into an AI tool at all. Those rules stay yours.
Do we need to buy software or licences as well?
No. There is nothing to install and no subscription you must buy from us. Where a tool is needed, we work with your own choices and say plainly if something has to be paid for.
How disruptive is it to operations?
Own pace means your people learn around shifts, not away from them. The scheduled touchpoints are booked in advance and are online, so nobody travels.
Can you work with our existing security software?
Usually yes, because we build on your process rather than replacing it. The assessment is where we check that honestly instead of guessing.
