The hour is spent assembling, not thinking

A client update is usually four or five facts the agency already holds: who was on site, what changed, what is outstanding, what happens next. Assembling them takes an hour because they live in different places and nobody wrote the order down.

Quotations have the same shape. A previous quotation is opened because it is faster than remembering the terms, and then edited. That works, and it is also how an outdated clause travels quietly from one quotation to the next for years.

The change worth having is not a faster copy. It is a draft assembled from the current records, with the old clause replaced by the current one, in front of a person who decides what goes out. The account manager gets the hour back to talk to the client, which is what the client actually pays for.

Four things this is not

  • It is not an auto-sender. Nothing goes to a client without a named person checking and sending it.
  • It does not set your rates. Quotations are built from the rate card and terms you give it.
  • It is not a CRM. It reads the records you already keep; it is not another system for your team to maintain.
  • It is not for every agency. If your updates are already standardised and quick, the honest answer may be that this task is not where your hours are going.

Could it send something to a client by mistake?
Nothing is sent by the colleague. It drafts; a named person checks and sends. That is a design decision, not a setting we might change later.
Will it use our current rates and terms?
Yes — from the rate card and terms you give it, which is the point: the draft starts from today's version instead of last year's quotation.
Which client records can it read?
Only the ones your own written rule in Level 1 permits. Nothing is handed to us to run the training, and client records never leave your company.
Our clients are named in those updates. Is that a problem?
No. What matters is what the tool is allowed to read and where that information goes, and both are decided by your rule. We never publish a client name of yours, with or without the training.
