Where the risk sits

A spreadsheet is not the problem. One owner is

Most agencies we talk to have a renewals spreadsheet, and most of them are accurate. The exposure is different: the knowledge of how it works, what the colour coding means, and which column is the real date lives in one person's head. When that person is away, the agency is guessing.

There is a second, quieter version of the same problem. A renewal moves from an email, to a message, to a note on a desk, and the spreadsheet is updated days later. Nothing is lost on purpose. It is simply that the record and the fact drift apart a little each month.

  • It is not licensing advice. Renewal requirements come from the licensing authority, not from us, and we do not interpret them for you.
  • It is not a replacement for the official record. Where a document is filed with an authority, that filing stays the record. This is your working view.
  • It does not chase people for you. It raises the renewal to the person your rule names. Whether they act is a management question, not a tool question.
  • It is not right for every agency. If one named person with a spreadsheet is genuinely enough, we will tell you that on the call.

What directors ask us

Will it tell us what the licensing rules require?
No, and we would be wrong to pretend otherwise. The requirements come from the licensing authority. What the colleague does is keep your own renewal dates, owners and confirmations in one view you can act on.
Our data is with a licensing portal already. Is this duplication?
It is your working list, not a second official record. Many agencies keep both, because the portal answers the authority's question and this answers the director's.
Who can see officer licence details?
Whoever your own written rule allows, and nobody else. Level 1 writes that rule before Level 2 builds anything, and the record of who changed what is kept.
What if the person who owns the list leaves?
That is the situation this is built for. The list, the rule and the owner are written down, so the next person inherits a process instead of a mystery.
